5.6. Zapier

Overview

Plansom is an AI work platform that helps teams set goals, track execution, and get results with AI agents. Connecting Zapier lets your Plansom agents work with the apps you've connected in Zapier, such as Google Sheets, Gmail, Slack, and thousands more. Agents can look up information in those apps, take actions in them, and turn the results into Plansom goals and tasks your team can track, all from inside Plansom's AI agent chat.

How It Works

Zapier works as a bridge between Plansom and your other apps. Once Zapier is connected and added to an agent, you can ask that agent in plain language to work with any app you've set up in Zapier. For example, you can ask it to:

  • See what's set up: "What apps do I have connected in Zapier?"
  • Look things up: "Read row 2 from my Google spreadsheet 'Q4 Plan' and tell me what it says."
  • Take actions in your apps: "Add a row to my 'Team Tasks' spreadsheet with Task = 'Send proposal', Owner = 'Sam', Due date = '2026-11-15'."
  • Add a new app: "Enable Google Sheets in Zapier and give me the link to connect my account."
  • Turn app data into a plan: "Read row 2 from my 'Team Tasks' spreadsheet and create a Plansom task from it, under a new goal called 'Plansom x Zapier'." Plansom is a goals and tasks platform, not just a Q&A chat, so the agent can act on what it finds.

Before the agent creates a goal or task, Plansom shows you a draft and asks you to confirm. Tasks the agent creates live under the goal they move forward, so you can track progress in Work → Goals and see each next step in My day.

What you need

  • A Zapier account (the free plan works). If you don't have one, you can create it while connecting.
  • A Plansom account. Sign up if you don't have one yet.

Each team member connects their own Zapier account. The agent can only use the apps and accounts that person has connected in Zapier, and it acts in them as that person. The agent can change data in those apps, for example by adding rows or sending messages, so be clear and specific about what you want it to do.

Zapier tasks

Zapier counts usage in tasks. Each time the agent reads or changes something in one of your apps, it uses 2 tasks from your Zapier plan. Finding apps, setting them up, and checking connections don't use any tasks. A single request to the agent can involve more than one action.

If your Zapier plan runs out of tasks, the agent can't take actions in your apps until your plan's tasks reset or you upgrade. You can check your usage in your Zapier account. See Zapier's usage and billing guide for details.

Connect Zapier

  • Log in to Plansom, or sign up if you do not have an account yet
  • Go to Resources → Agents in the left sidebar and open the Connectors tab
  • Find Zapier and click Connect Zapier
Clicking Connect Zapier
  • Sign in to Zapier, or create a Zapier account if you don't have one
  • Review the permissions on Zapier's screen. If you belong to more than one Zapier account, choose the one to use under Account. Then click Allow

If the connection doesn't go as expected, see Troubleshooting.

After You Connect

Once approved, you are redirected back to Plansom, and Plansom shows a "Zapier connected" confirmation message.

In Resources → Agents → Connectors, Zapier now shows a switch that is turned on, which means it's connected.

To start using it, add Zapier to an agent: create a new agent or open an existing one, go to its Tools tab, click Connect a new tool, and select Zapier under Automation. Add Plansom as a tool too, so the agent can create goals and tasks from what it finds in your apps.

To start chatting with that agent, go to Resources → Agents in the left sidebar, find the agent's card, and click Chat on it.

Add Apps in Zapier

The agent can only work with apps that are set up in your Zapier account. If you already use apps in Zapier, they are usually available to the agent straight away. If you're new to Zapier, or want to use a new app, the agent can set it up with you:

  • Ask the agent to enable the app, for example: "Enable Google Sheets in Zapier. If I don't have a Google Sheets account connected, give me the link to connect one."
  • The agent enables the app and, if your account for that app isn't connected yet, replies with a link

  • Open the link, click Connect, and sign in to that app (for example, with your Google account) to give Zapier access

  • When Zapier shows Connected, go back to the chat and tell the agent, for example: "Done, I connected my Google account. Confirm it's connected."

If you have more than one account connected for the same app, tell the agent which one to use, or ask it to set one as the default, for example: "Set my work Google Sheets connection as the default."

Troubleshooting

  • Zapier's authorization screen doesn't appear, or you aren't redirected back to Plansom after clicking Allow: try connecting again from Resources → Agents → Connectors.
  • The agent says an app isn't connected: set the app up as described in Add Apps in Zapier.
  • The agent can't take actions in your apps any more: check whether your Zapier plan has run out of tasks (see Zapier tasks).
  • The agent asks you to connect Zapier: your Zapier connection was removed. Connect it again as described in Connect Zapier.

If the issue persists, contact support.

Disconnect Zapier

  • Go to Resources → Agents in the left sidebar and open the Connectors tab
  • Find Zapier and turn off its switch
  • Click Disconnect to confirm
Confirming Disconnect Zapier

Plansom shows a "Zapier disconnected" message, and Zapier shows Connect Zapier again.

Disconnecting immediately stops Plansom from using your Zapier account. It does not delete any goals, tasks, or other Plansom records already created, and it doesn't change your apps or settings in Zapier. If you connect again later, the apps you set up in Zapier are still there.

Removing Plansom from your Zapier account directly

You can also remove Plansom's access from Zapier's side:

  • In Zapier, open MCP servers in the left sidebar
  • Select Plansom (api.prod.plansom.com) MCP Server and open its Settings tab
  • Click Delete
Deleting the Plansom MCP server from its Settings tab in Zapier

This removes Plansom's access on Zapier's side, along with the apps you set up for Plansom there. It can't be undone. If you connect Zapier to Plansom again later, you'll need to set those apps up again.

Privacy

Plansom's use of your Zapier data is governed by our Privacy Policy.
